FAQ
Your Questions, Answered
-
Will I get a refund if nothing is found in my file?Yes. Our AI works best with a large amount of records (which is also why you'd find this service helpful), so if we don't have a full data set from you we will offer a refund. How this works - after purchase we will do an initial review of your records and let you know if we think our AI service will provide you a good outcome and what that might look like for your particular record set. We will walk you through an expected outcome. If you want to continue after this consultation we will go to work, or we can refund you before going any further. Once we are committed and working your data, we don't offer a refund, but we (at the moment) are offering unlimited consultation on the end product, and can re-analyze sections as needed or provide different perspective to ensure you are satisfied. Obviously our goal is to provide as much value as possible to you, veteran to veteran.
-
Do you just write letters like other sites? No. We analyze your actual medical and VA documents to uncover rating opportunities, errors, and missed claims. Our reports can support your letters—but our strength is in identifying what letters you actually need.
-
Do you guys use your own service?Absolutely - extensively. 😀 We used these tools in our own VA journey to cut through the noise and get good answers. We found it to be so useful that we couldn't not provide this as a service to other veterans.
-
What does your service do?In a nut shell - we take your piles and piles of confusing records, build a database, and have our AI read and analyze it, producing clear structured reports. So instead of spending countless hours reading and making sense of your documents yourself, or relying on a human representative to do it (who may or may not know what they are doing) while you wait for ever, we have a simple pipeline and use AI to do it better and faster. We analyze your VA and medical records using secure, HIPAA-compliant systems and AI to identify missed claim opportunities, rating errors, and evidence gaps. You receive a personalized report showing what you may be eligible to claim or appeal — all organized and explained in plain English. Get started by reaching out for a one on one records consultation.
-
How does the process work? Our goal is to make this as simple as possible for you and offer you a clear communication channel to us. You get a representative (veteran) assigned to you who is available throughout the production. In a nut shell, get your documents, send them to us and we prepare them for the AI agent. Then we develop your analysis. In detail: Hit us up for a quick one on one records consult so we can cover specifics You choose and purchase a report on our website (email us to order) You receive a secure upload link to send us your documents We check your files and offer a refund if there is not enough data, or we think we wont provide you good value If we go forward, we organize and prepare your files into an AI readable data set, then analyze the file using AI and our trained team You receive your full report via secure download within 5–10 business days We offer you a consultation to review your results and answer any questions You submit your claims You can reach out to us at any stage of the journey with questions and we will always respond. Lets Go!
-
Can I talk to someone after I get my report?Absolutely Yes. At the moment we are offering unlimited consultation on your end product, as we know AI is new and people need help to figure out how it works and what it does. If you are ready to get started, reach out for a one on one records consultation now or just order.
-
What happens if I only have a few documents? The AI does best with a large data set, and why you'd want to use us (so you don't have to work through 3,000 pages of info) So if you had no medical problems related to service and you only served for a short period, this is not a good service for you. Our analysis is only as strong as the information you provide. Incomplete records may result in a shorter report or fewer claimable items identified. We’ll still do our best, and we’ll let you know if your file appears incomplete. Reach out for a quick one on one and we can talk through the record requirements and see what you have to work with.
-
How long does it take to get my report?Standard turnaround is: 5–7 business days for Conditions or Decision audits 7–10 business days for Hybrid reports Rush service may be available at checkout (limited availability).
-
What documents should I upload? We recommend: Service treatment records (STRs) Private and VA medical records VA rating decision letters C-file documentation (if available) Labs, imaging, and C&P exam results
-
Is my data safe and HIPAA-compliant?Yes. All document transfers, storage, and analysis are handled using HIPAA-compliant cloud infrastructure. Files are encrypted in transit and at rest, and access is strictly controlled. We do not share or sell your data.
-
What if I don’t understand something in the report? We provide a “Briefing Summary” page in every report that highlights the most important findings in plain English. You’ll also receive access to our [Post-Report Support Portal], where you can submit questions or schedule a consultation.
-
Do you store my files permanently? No. You are in control of your data at all times. We store files only as long as needed to complete your report and provide follow-up support. During your intake process you can specify how long you would like us to hold your records.
-
What if all my files are paper do you scan for me?In order to get the best, most cost effective outcome, electronic files are ideal. Most files can be gathered in electronic format from private medical practitioners, through a FOIA request to the VA, as well as FOIA requests for your service medical files, however these can be time consuming and lengthy processes. https://www.tricare.mil/records However, we do understand that many veterans have a collection of paper files and scanning these can be a very time intensive and difficult process. Incorrect scanning settings can also influence the ability of the files to be quickly digitized using OCR software resulting in additional difficulties. We DO offer paper handling options (scanning) to support your claim on a case by case basis for an additional fee based on rough page count. The base handling fee is $100, plus $150 for up to 300 pages, $250 for up to 600 pages. File sets above 600 pages are tiered by volume with lower rates. We are not responsible for shipping related problems or losses, and you should send us copies, not originals whenever possible. Once your file set is scanned, it will be available to you via secure link. Drop us an email or book a phone call and we can help determine if your file set is comprehensive enough to warrant digitizing it and provide important processing instructions.
-
How do I get my files to send you?Service medical records can be requested here: https://www.tricare.mil/records VA C-files can be requested here: https://www.va.gov/records/request-personal-records-form-20-10206/introduction VA decision letters can be retrieved from your VA portal Private medical records can be requested from the clinic/hospital you visited, usually through a patient portal request. Remember that many of your electronic files will be password protected. We will reach out to you for access information during onboarding.
-
Do you guarantee results? No one can guarantee that a claim will be successful, but we guarantee a thorough review of all the files you submit. If we determine early that your file lacks sufficient evidence for a full report, we may offer a refund or advise next steps.
-
Why can't I use my own AI to do this?We use a HIPPA compliant AI interface that safeguards your personal data, something you don't get with consumer focused AI. We also spend the bulk of our time on your records, preparing them to get the best results from the AI as possible. Then we use pre-trained models and iterative prompting to get the report built as accurately as possible. So in a nut shell, you might be able to get there eventually but we think our service cuts to the chase and gets you what you need for great value.
-
Do you file my VA claim for me?We would love to, but we do not file your claim directly for you as we are a records analysis company, and only legal representatives are allowed to file on your behalf. However our reports will give you clear instructions on how and what to file, so you can do it yourself, or at least make sure your representative does it right. Use our AI-driven analysis and guidance to file a stronger, more complete claim.
-
What is a secondary service-connected condition?A secondary condition is a medical issue that develops as a result of another service-connected condition. For example, if your service-connected knee injury causes you to walk unevenly and that leads to back pain — the back pain may qualify as secondarily service-connected. This can significantly increase your overall VA rating. We specialize in finding these links using your records.
-
What’s the best way to organize my records before filing a VA claim?Start by collecting service medical records, private medical records, and any VA documents like decision letters and benefit summaries. Organize them by date and condition if possible. Use PDFs or scanned documents and name your files clearly. We also offer a preparation guide and intake checklist when you use our service to ensure we get the best results for you.
-
What are the most commonly missed VA claim conditions?Veterans often miss conditions like: Sleep apnea secondary to PTSD Migraines secondary to TBI or medication Mental health issues never diagnosed during service Back, knee, and joint pain assumed to be “normal wear” Scars, residuals, or chronic side effects from service-connected procedures Our audits help uncover these types of missed opportunities by translating medical records into VA language.
-
Do I need a VSO or lawyer to win a VA claim? Not necessarily. Many veterans win claims on their own — especially when they have strong documentation and a clear understanding of what to submit. Our service gives you exactly that: a professionally prepared, evidence-based report that can strengthen your claim or help guide your VSO or attorney if you choose to work with one. We empower you with knowledge, not representation.
-
Can I use your report with my VSO or attorney?Absolutely. Many customers use our report to have more informed conversations with their VSO, doctor, or legal rep. It helps them understand the big picture — fast.
-
How can I tell if my VA rating was calculated correctly? It’s not always easy — VA math is complicated and involves special formulas, rules, and combinations. That’s why we offer a Rating Review as part of our services. We look at your full rating history, conditions, and decision letters to make sure nothing was overlooked or under-calculated. You could be missing out on benefits simply due to a clerical or interpretation error.
-
Can you help me appeal or fix a VA decision? Our analysis gives you extremely powerful tools to approach incorrect VA decisions by doing all the heavy lifting and records analysis. First we identify where your decisions may be incorrect and finding all the decisions that might be wrong and then we give you a clear road map on how to fix it. This takes the guesswork out. By law we are unable to file your appeals for you. You can take our report to a VSO, attorney, or submit a supplemental claim directly using our findings and know you are empowered with the best analysis out there. If you are ready to get started, reach out for a one on one consultation now.
-
What are common errors in VA decisions? Some of the most common VA decision errors include: Failing to consider all evidence Applying the wrong diagnostic code Using incorrect effective dates Overlooking secondary conditions Not accounting for worsening symptoms Misclassifying discharge status or service periods Our Decision Audit looks for these and more to help you identify claims worth reopening.
-
What is a C-file and how do I get mine?Your C-file (claims file) contains everything the VA has on you: medical records, service records, rating decisions, and more. It’s essential for reviewing past VA decisions or appealing a claim. You can request your C-file by submitting a FOIA request through VA.gov or by working with a VSO. We also provide guidance if you're unsure how to get started.
-
What is a Clear and Unmistakable Error (CUE) in VA claims?A CUE is a serious mistake made by the VA in a past decision — the kind that’s so obvious, no reasonable person would argue it was correct. If a CUE is found, the decision can be reversed, and you may be owed back pay going all the way back to the original claim. These are rare but powerful — especially when they result in years of missed benefits. Our Decision Audit service helps uncover potential CUEs hiding in your file.
-
C-File (Claims File)A comprehensive file the VA keeps on you, including all submitted claims, decision letters, service treatment records, correspondence, exams, and more. Crucial for claim reviews and appeals.
-
Service-Connected ConditionAn illness or injury that was caused or made worse by your military service. You must prove this connection to qualify for VA disability compensation.
-
Disability RatingA percentage (0%–100%) the VA assigns to a service-connected condition. The higher the rating, the greater the monthly compensation.
-
Clear and Unmistakable Error (CUE)A serious error in a past VA decision. If proven, it can lead to a retroactive correction — and potentially significant back pay.
-
Supplemental ClaimA type of claim you file after a decision has been made. Used to submit new and relevant evidence to support a previously denied or under-rated condition.
-
Intent to File (ITF)A form that tells the VA you plan to file a claim. It preserves your effective date (the date your benefits could start) while you gather documentation.
-
Secondary ConditionA condition that’s caused or worsened by an already service-connected disability. For example, depression secondary to chronic pain, or sleep apnea secondary to PTSD.
-
Nexus LetterA medical opinion that connects your current condition to your service. Usually written by a qualified doctor and often critical in winning a claim.
-
DBQ (Disability Benefits Questionnaire)A standardized form that doctors fill out to document your medical condition in a way that aligns with the VA rating criteria.
-
Compensation and Pension (C&P) ExamAn exam scheduled by the VA to evaluate the severity and connection of your condition. Often impacts your final rating.
-
VA Rating ScheduleThe guide the VA uses to determine disability ratings. It outlines specific criteria for each condition and how it's scored.
-
Presumptive ConditionA condition the VA assumes is service-connected based on your service location or time period. You don’t need to prove the link if it’s on the presumptive list.
-
Effective DateThe date your benefits begin. Usually the date you filed your claim, or the date the condition became worse.
-
VA Form 21-526EZThe most common form used to file an initial claim for disability compensation.
-
AppealThe process of challenging a VA decision. This can be done through a Supplemental Claim, Higher-Level Review, or a formal appeal to the Board of Veterans' Appeals.
-
Higher-Level ReviewAn appeal option where a more experienced VA reviewer re-examines your claim without new evidence.
-
VA Form 20-0995Used to submit a Supplemental Claim with new and relevant evidence.
-
Back PayLump sum of missed monthly payments if your claim is approved with an earlier effective date than the decision date.
-
Total Disability Individual Unemployability (TDIU)A benefit that pays at the 100% disability rate even if your combined rating is lower — if you can’t maintain substantial employment due to service-connected conditions.
-
Combined RatingHow the VA calculates multiple disability ratings together. It’s not a straight addition — it uses a formula known as the “VA math chart.”
-
VA Form 21-4138 (Statement in Support of Claim)A form where you can describe your conditions, symptoms, or circumstances in your own words.
-
Board of Veterans' Appeals (BVA)The VA’s appellate body that reviews and decides appeals after the initial claim has been reviewed at the local level.
A brief overview of best practices for gathering and submitting your records
No pressure, no obligations, no annoying follow-ups. Just Q&A about the service.

The VA works on evidence. If you don't have a good handle on yours, you're going to be a statistic and not a survivor.
